Supervisor, Donor Services Specialist

Summary:

Success factors for this role include day-to-day activities related to the screening and evaluation of all potential tissue donors, as well as having a strong understanding of organ and research potential. This includes collaboration with the team that provides triaging of organ/tissue referrals, staffing for current and potential donation opportunities, coordinating logistics involved with the donation process and collaborating with the hospital healthcare team to optimize each potential donor. The Supervisor, Donation Services Specialist is knowledgeable of individual tissue banks, tissue processors, and AATB/OPTN policies related to donation of all anatomical gifts. They collaborate with Family Care, Hospital Development, Tissue Recovery and Clinical Services to foster, promote, and sustain cross-departmental collaboration in support of optimal outcomes. The incumbent will maintain expertise of all activities related to job functions required of a Donation Services Specialist. Duties also include input into the orientation of new team members, as well as any special projects which may be assigned. The Supervisor, Donation Services Specialist, can be utilized to provide support in cases of short staffing and participate in or lead training.

 

Essential Job Functions and Responsibilities:

  • Performs at a supervisory role to assigned team members, including:

  • Root-cause analysis and process improvement plans related to department functions.

  • Conduct employee appraisal, performance improvement plans, and corrective action plans under the direction of the Director, Donation Services & Allocation.

  • Approve employee timesheets, expense reports and PTO requests in accordance with STA guidelines and policy.

  • Monitors and enters department metrics into appropriate tracking sheets to provide feedback to assigned team members on individual and departmental performance.

  • Meets with assigned team members monthly, at minimum, to discuss individual performance and performance as related to specific department metrics.

  • ·Able to provide clear direction to others related to all expected duties of staff.

  • ·Actively monitors referral activity, providing input for optimal strategies.

  • Ensures accuracy and completeness of documentation in EDR for referrals and department related case activity.

  • Review completed authorizations prior to mobilizing the recovery team and Donor Risk Assessment Interviews completed by DSC staff within 24 hours of completion.

  • In collaboration with the Education department and leadership, ensures proper documentation of training.

  • Assists HR and Education Departments in recruiting, interviewing, and training staff.

  • Ensures adequate staffing on shift.

  • Participates in the Tissue On-Call rotation, to support Tissue Recovery and Donation Services.

  • Oversees communication related to tissue donor referrals.

  • Other duties as assigned.

Education, Experience, and Licensing Requirements:

  • Associates of Science degree (preferred), or Current credentialing as an EMT-B or LVN, or completion of an accredited clinical healthcare program resulting in a certification, registry, licensure or equivalent work experience.

  • Minimum 2 years’ experience in Organ and/or Tissue Donation, including functions such as: referral evaluation, donor family discussions, processor criteria and/or recovery.

  • Prior experience as a preceptor or trainer

  • Expert knowledge in evaluating potential tissue donors in accordance with STA, AATB, and processor medical criteria, to provide tissue which is safe for transplantation.

  • Must have the ability to provide clear written and oral instruction related to complex processes, communicate effectively with all levels of personnel, and to represent the organization publicly.

  • CTBS preferred, required within 1 year of hire date.

  • Experience and proficiency in Contact Center communications technology preferred.  Demonstrated proficiency with MS Office, Document Control Systems, and Electronic Medical Records is required. 

  • Prior experience as a preceptor in a clinical setting required.

  • Must be able to simultaneously perform multiple complex processes and prioritize tasks to optimize workflow and ensure compliance with established policies and timelines. 

Qualifications and Skills:

 

  • Knowledge of MS Office, Word, Excel, and PowerPoint application

  • Direct experience in a healthcare setting is strongly preferred.

  • Detail-oriented and accurate documentation.

  • Excellent communication skills required.  Must have the ability to communicate effectively with all levels of personnel and to represent the organization publicly.

  • Ability to work both independently and as part of a team required.

  • Ability to cope with high levels of stress and able to handle a heavy workload.

  • Ability to travel in light and commercial aircraft or drive his/her personal auto in order to meet all job duties and responsibilities. 

  • Current Driver’s license required.
