Supervisor, Approach & Authorization

General Statement (Summary of duties & responsibilities): 

 

The Supervisor, Approach and Authorization is responsible for the day-to-day activities related to the telephonic approaching and documentation of organ & tissue donation and has a strong understanding of grief and empathetic communication. This includes the collaboration with on-site family services coordinators and leaders to determine best practices and plans of care for positive experience in donation conversations. They also collaborate with Clinical Services, Donation Services, and Tissue Recovery to foster, promote, and sustain cross-departmental collaboration in support of optimal outcomes. The Supervisor of Approach & Authorization is knowledgeable of AATB/OTPN polices related to donation of all anatomical gifts.  

 

Education and Work Experience Qualifications: 

 

  • Bachelor’s degree is preferred in Counseling, Ministry, Social Work or Psychology or equivalent experience working with families in crisis in a healthcare setting.  

  • Minimum 1 year experience in Organ and/or Tissue Donation including functions such as: donor family discussions or family-aftercare. 

  • Prior experience leading or managing staff. 

  • CTBS certification preferred or obtained with-in one year of promotion. 

  • Excellent communication skills required. Must have the ability to communicate effectively with all levels of personnel and to represent the organization publicly.  

  • Demonstrated experience in creating and delivering quality training and educational materials and programs.

  • Ability to work both independently and as part of a team required. 

  • Ability to cope with high levels of stress and able to handle a heavy workload. 

  • Ability to travel in light and commercial aircraft or drive his/her personal auto in order to meet all job duties and responsibilities.  Current Driver’s license required. 

 Essential Job Functions: 

 

  • Performs at a supervisory role to assigned team members, including:  

  • Root-cause analysis and process improvement plans related to department functions.  

  • Conduct employee appraisal, performance improvement plans, and corrective action plans under the direction of the Director, Family Care.  

  • Approve employee timesheets, expense reports and PTO requests in accordance with STA guidelines and policy.  

  • Monitors and enters department metrics into appropriate tracking sheets to provide feedback to assigned team members on individual and departmental performance.  

  • Meets with assigned team members monthly, at minimum, to discuss individual performance and performance as related to specific department metrics.  

  • Able to provide clear direction to others related to all expected duties of staff.  

  • Actively monitors referral and approach activity, providing input for optimal strategies.  

  • Ensures accuracy and completeness of documentation in EDR for referrals and department related case activity.  

  • Assists HR and Education Departments in recruiting, interviewing, and training staff.  

  • Ensures adequate staffing on shift.  

  • Responsible for scheduling of front-line teammates 

  • Supervisor will be scheduled on rotation regularly. 

  • Responsible for collaboration on workload volume for real time staffing adjust as justified by workload.  

  • Participates in rotation of On-Call leadership positions such as FOC. 

  • Will be required to travel to Dallas office to participate in training, new hire orientation, skills days, leadership meetings as needed and as staffing schedule permits.

NON-ESSENTIAL JOB FUNCTIONS:

  • Represent Southwest Transplant Alliance with national and regional procurement and transplant organizations. 

  • Independently provides family care training and education to hospital staff as requested by Hospital Services. 

  • Works with hospitals, staff, and the public to assure that appropriate patients and families are provided the opportunity of organ and tissue donation. 

 

PHYSICAL ENVIRONMENT / WORKING CONDITIONS: 

 

Normal office environment, travel in light and commercial aircraft, or automobile in order to meet all the duties and responsibilities of the position.   

  

OSHA CATEGORY DEFINITION: 

 Category 1 - The incumbent in this position has potential for occupational exposure. 

 

EQUIPMENT USED: 

 The incumbent is required to use various pieces of office equipment.  Appropriate orientation to the equipment is provided.

 The incumbent will have access to confidential material and is required to use discretion with this information and comply with STA Confidentiality policy.
