Project Management Coordinator

The Project Management Coordinator is responsible for tracking, managing, and maintaining all projects at Southwest Transplant Alliance, as needed. Additionally, the position advises employees at all levels within the organization regarding best practices for change management and implementation. The incumbent will ensure the systematic documentation of project plans and collaborate with applicable departments to ensure timeliness of completion and training is consistent with organizational standards.
Essential Job Functions and Responsibilities:
Manages several cross-departmental projects using agile and other traditional project methods in a fast-paced environment with multiple stakeholders
Develops and maintains consistent and thorough communication with project stakeholders
Receives, manages, and processes project submissions in accordance with PMO guidelines
Responds to project stakeholders’ requests or issues in a timely and professional manner
Assists the Strategic Project Manager with the development of comprehensive project plans that are shared with teams to ensure changes are tracked and understood by stakeholders.
Schedules all cross-departmental project meetings and assigns responsibilities for projects
Manages changes to project scope, schedule, and costs to keep plans accurate and updated
Supports the development of Project Management materials including SOP's, Gantt charts, workflows, and process maps, utilizing Microsoft Teams.
Collaborates with the Education department to support appropriate training prior to the implementation of projects
Develops and maintains various tools and systems templates related to project management and continuous improvement
Maintains knowledge of current Project Management industry trends
Administrative duties and department metric reporting
Performs other duties as assigned
Compliance:
OSHA CATEGORY DEFINITION: Category 2 – The incumbent in this position has the potential of occupational exposure
The incumbent will have access to confidential material and is required to use discretion with this information and comply with STA Confidentiality policy
Education, Experience, and Licensing Requirements:
Bachelor's degree in Business Administration or related field preferred
CAPM, PMP or equivalent experience is required
Minimum of 1-year experience leading, planning and managing projects in a Project Management Office or similar team environment, working on custom business development-related projects
Current Driver’s license required
Qualifications and Skills:
General understanding of project management life cycle models as well as strong knowledge of traditional project management principles and practices
Experience using Project Management Software such as MS Project, Smartsheet, Azure Dev Ops required
Demonstrates strong attention to detail and organizational skills, with the ability to multi-task, adapt to changing priority, and manage time with agility
Must have the ability to provide clear written and oral instructions related to project management processes to multiple levels of leadership
Ability to meet assigned deadlines and strategize multiple competing priorities
Excellent oral, written, and documentation skills
Must have the ability to communicate effectively with all levels of personnel and to represent the organization publicly
Ability to work both independently and as part of a team required
Ability to cope with high levels of stress and able to handle a heavy workload
Ability to be flexible in a dynamic work environment
Ability to travel in light and commercial aircraft or drive his/her personal auto in order to meet all job duties and responsibilities
PHYSICAL ENVIRONMENT / WORKING CONDITIONS:
Normal office environment and is required to use his/her private automobile in order to meet all the duties and responsibilities of this position.
