Materials Management Coordinator

OVERVIEW

The Materials Management Coordinator is responsible for maintaining adequate inventory levels of recovery supplies, equipment, instruments, and general equipment and facilities maintenance. Performs all duties and responsibilities in compliance with STA policies and procedures, the standards and regulations as outlined by the FDA, UNOS, CMS, and other applicable federal, state, and local laws. Complies with STA policies and procedures on confidentiality and corporate compliance.

Collaborates with various departments to manage efficient flow of all materials and supplies. Prepares an efficient receiving schedule and evaluates availability of all materials and supplies.

JOB REQUIREMENTS


1. HS diploma or GED required. Bachelor’s degree preferred.

2. Minimum 1 year of experience in the allied health profession preferably in areas of logistics, inventory, purchasing, receiving or central supply processing.

3. Two year’s supply chain experience. Prior healthcare materials management experience preferred.

4. Proficiency in MS Office to include Word, Excel, and data entry skills. 5. Excellent analytical, organizational skills and attention to detail.

6. Excellent customer service skills are essential.

7. Excellent communication skills required. Must have the ability to negotiate and communicate effectively with all levels of personnel and to represent the organization publicly.

8. Ability to work both independently and as part of a team required.

9. Ability to cope with high levels of stress and able to handle a heavy workload in a fast-paced environment.

10. Ability to meet assigned deadlines.

11. Ability to travel in light and commercial aircraft or drive his/her personal auto to meet all job duties and responsibilities. Current Driver’s license required.

ESSENTIAL JOB FUNCTIONS

1. Organizes and oversees the inventory by keeping a detailed database of available inventory and expected usage per functional area (i.e. tissue, organ, and laboratory). Sets delivery schedule for all suppliers.

2. Allocates and organizes materials and supplies to meet demand.

3. Oversees the maintenance of the inventory management system, including generating system reports as requested.

4. Serves as vendor contract for discrepancies in material shortages, damages or returns.

5. Assists with cost control by identifying ways to improve the materials management process.

6. Maintains adequate levels of recovery supplies, equipment, and instruments.

7. Performs inventory of recovery supplies and equipment and completes inventory/ordering document/log.

8. Verifies lot number and expiration dates of medical supplies and ensures they are of appropriate use prior to releasing for use.

9. Maintains certificate of sterility/analysis documentation for critical supplies.

10. Assembles recovery kits/pre-pack supplies for the tissue recovery team.

11. Verifies instrumentation and equipment are appropriate for use prior to release for use.

12. Maintains equipment documentation/logs to preventative maintenance cleaning and calibrations.

13. Schedules preventative maintenance and calibration of equipment with vendors.

14. Maintains vehicle logs.

15. Communicates with medical supply and equipment vendors.

16. Performs other duties as assigned. Ordering and checking (auditing) El Paso supplies and logs. (Was also doing Corpus Christi’s before the shut down).

17. Coding and processing invoices in PN3 and Nexonia.

18. Point of contact for Tissue temperature monitoring system for Dallas and El Paso offices. (Also used to include Corpus Christi). Responsible for detailed notes corresponding to alarms in the system.

19. Participating in audits for the FDA and tissue processors such as Cryolife.

20. Maintains and ensures accuracy of inventory and monthly reporting.

21. Establishes procedures for conducting and valuing year-end physical inventory.

22. Performs other related duties as assigned.
